A pharmacy is not an ordinary shop. You handle expiry dates, batches, prescriptions, and controlled drugs — and getting any of those wrong costs you money or lands you in trouble. Ordinary retail software wasn't built for that. Here's what to look for when choosing software for a pharmacy or chemical shop in Ghana.
1. Batch and expiry tracking (FEFO)
This is the single most important feature, and the one most cheap systems skip. Your stock arrives in batches, each with its own expiry date. Good pharmacy software tracks stock at the batch level and dispenses the earliest-expiring batch first — this is called FEFO (First-Expiry-First-Out).
Without it, you either sell expired product by accident, or you throw away good stock because you lost track of what expires when. Either way, that's money off your shelf every month. Ask any vendor to show you, live, how their system picks the batch during a sale.
2. Prescriptions and controlled drugs
You need a proper record of what you dispensed and to whom. Look for the ability to capture the prescription at the point of sale, and to handle controlled drugs separately from ordinary items, so your records stand up to scrutiny.
3. Mobile Money into your own account
Most customers will want to pay by MTN Mobile Money. The critical question: does the money go into your merchant account, or the software company's? Some systems route MoMo through their own account and take a cut of every sale. Insist on a system that uses your own MoMo merchant credentials — otherwise you pay a fee on every transaction, for as long as you use it.
Quick test for any vendor: ask them to sell you an expired item during the demo. A real pharmacy system won't let them — it will pick a valid batch or block the sale. If it happily rings up expired stock, keep looking.
4. It must work offline
Internet and power in Ghana are not guaranteed. If your software stops the moment the connection drops, you stop serving customers — at exactly the busy times you can least afford it. Look for software that is offline-first: it keeps selling with no internet, queues the sales, and syncs them automatically when the connection returns.
5. Stock across every branch
If you have — or plan to have — more than one shop, you need real per-branch stock, not a single shared number. Good software tracks stock separately for each branch, lets you transfer stock between them, and gives the owner one view across all of them. Staff should be locked to their own branch.
6. Reports you'll actually use
At a minimum: daily sales, your best-selling items, a breakdown by payment method, and low-stock alerts — with the ability to export to a spreadsheet. If you can't get your numbers out of the system easily, you don't really have them.
7. Local training, support, and your data
When something goes wrong at the counter, you need someone who answers. Choose a vendor who trains your team in person and supports you in your own time zone. And check you can export your own products, sales, and customers at any time — if you can't, you're locked in.
